This Privacy Policy explains how the International Society for Academic Research on Shamanism (ISARS) and the Academic Center for K-Religions (ACKR) at Sogang University, as co-organizers of the ISARS 2026 Conference (hereinafter, the "Conference"), collect, use, and protect personal data in connection with conference sign-up, proposal and paper submission, registration and payment, visa support, and other Conference-related activities.

1. Personal Data Collected

For the preparation and management of the Conference, we collect the following categories of personal data:

① Account Creation (Conference Sign-up)

Required: First Name, Last Name, Email Address, Password, Country/Region

Optional: Middle Name, Prefix

(Purpose: to create and manage a user account for access to the Conference system and registration management.)

② Proposal and Paper Submission

Name, Affiliation (institution, department), Position/Title, Contact information (email/phone), Paper title and abstract, Short biographical note

(Purpose: for academic review, scheduling, and inclusion in the official Conference program.)

③ Participation Registration and Payment (Conference Registration Fee)

Name, Email Address, Payment information

(Purpose: to confirm participation in the Conference and process registration fee payments.)

④ Visa and Invitation Letter Applications

Full name as stated on passport, Nationality, Affiliation, Date of birth, Passport number, and other information required for visa issuance

(Purpose: to prepare and issue invitation letters and provide visa support.)

⑤ Other Optional Information

Information necessary for participation in additional Conference activities (e.g., accompanying family members, participation in performances or exhibitions)

(Purpose: to facilitate supplementary Conference-related activities and ensure smooth participation.)

2. Purposes of Use

Collected personal data will be used strictly for the following purposes:

  • Participant identification and account management
  • Receipt, review, and scheduling of proposals and papers
  • Conference registration management and payment processing
  • Preparation of invitation letters and visa support
  • Communication of announcements, program information, and participant assistance

3. Retention and Deletion of Personal Data

All personal data will be securely deleted within one (1) month after the conclusion of the Conference.

Payment and accounting records that are required to be retained under applicable laws will be stored separately and deleted upon expiry of the statutory retention period.

4. Disclosure of Personal Data to Third Parties

Personal data will not be disclosed to third parties except in the following cases:

  • When required for visa issuance, to relevant authorities (e.g., immigration offices, embassies)
  • When necessary for payment processing, to financial institutions or payment service providers
  • When disclosure is required by law or government authorities

5. Delegation of Data Processing

For the efficient operation of the Conference, certain processing activities may be entrusted to third parties:

  • Conference website operation and technical support: ACKR / designated service providers
  • Payment and accounting management: ACKR Finance Team / designated bank
  • Communication services (announcements, circular emails): ISARS Conference Secretariat

6. Rights of Data Subjects

Participants have the following rights regarding their personal data:

  • Request for access, rectification, or deletion of their personal data
  • Request to suspend processing or withdraw consent

(Please note: withdrawal of consent may limit the provision of certain Conference-related services.)

7. Data Security Measures

We implement appropriate technical and organizational measures to protect personal data, including:

  • Encryption of stored personal data
  • Passwords stored using one-way encryption, accessible only by the individual user
  • Access to personal data restricted to authorized personnel only

8. Important Note on ISARS Membership

All regular participants of the Conference are required to be members of ISARS.

The ISARS Membership Fee is separate from the Conference Registration Fee.

Membership fees are managed exclusively by the ISARS headquarters in Rome. Payments must be made directly through the ISARS official website.

The Local Organizing Committee (LOC) does not collect, verify, or confirm membership payments. Participants are responsible for ensuring their membership status with ISARS before or during Conference registration.
